The Challenge
Nine different operating companies provide product and services to customers, each under their own distinct brand. The parent company for all of the building distributors required a statement and invoice solution that would include unique letterhead for each company without incurring nine separate print runs. The parent company also struggled with special delivery and alternate handling needs, desiring a way to flag documents within the files that require special handling.
The Solution
Using the proprietary Asset Lifeline process, the Statement Solutions team consulted with the building materials company personnel to determine the best solution for their needs and uncovered additional opportunities to improve customer service. The proposed solution is based on workflow adaptation and revising the invoicing system to ensure processing, printing and mailing of invoices and statements is complete within 24 hours. The Statement Solutions team recommended design changes to improve statement and invoice readability and enabled customization of each invoice and statement, including creating unique letterhead for each of the nine companies by using digital logos. Invoices and statements are processed inline, without separate data files, resulting in a much more streamlined and efficient print process. HP Exstream, the composition software used, provides the client flexibility to place flags in the data to override address information for alternate handling and delivery.
The Statement Solutions team recognized the opportunity to improve the building materials distributor’s already high level of customer service with their WebArchive solution. Statement Solutions converts all invoices and statements to .PDF documents and posts them to a Statement Solutions hosted secure website, enabling building materials distributor authorized staff to quickly search and access files.
